Inviting members

Owners can invite other people to join a household. LedgerBear sends the invitee an email with a link; they click through, create a LedgerBear account (or sign in to an existing one), and get added as a member.

Sending an invitation

  1. Click your profile in the top-left and choose Manage Household Settings (only visible to Owners).
  2. On the Settings page, find the Members section.
  3. Click Invite Member. If the button isn't there, you're either not an Owner or the household is at the 5-member cap — see below.
  4. Fill in the form:
    • Email Address — required. Any valid email works; it doesn't have to be a LedgerBear account yet.
    • Role — Viewer (default), Editor, or Owner. See Roles and permissions for what each can do.
  5. Click Send Invitation. The invitation email goes out immediately.

The invitee receives an email with a link. When they click it, they're taken to a registration or sign-in page. On successful registration (or sign-in, if they already have an account), they're added to your household with the role you chose.

The 5-member cap

A household can have at most 5 members. The Invite Member button is hidden once you reach that limit. To free up a slot, remove an existing member (see Changing a member's role or removing them).

The cap is intentional — LedgerBear is built for personal and small-family use, not team workspaces. If you actually need more than 5 seats for a single pool of finances, reach out.

Pending invitations

After you send an invitation, it appears in the Pending Invitations section (Owners only). From there you can:

  • Resend the invitation email (click the refresh icon). Useful if the invitee lost the original or if it expired.
  • Revoke it (click the X icon). The invitation link stops working, and if the invitee hasn't accepted yet they'll get an error if they try.

See Managing pending invitations for more on this section.

Invitations that expire

Invitations have an expiration date. If the invitee doesn't accept before it expires, the invitation's Status changes to Expired in the Pending Invitations table and the link stops working. To retry, click Resend on the expired invitation to issue a fresh one.

Who gets emails

Only the invitee gets an email. The Owners don't get an email when an invitation is sent (they just initiated it) or when it's accepted. Acceptance shows up as the new member appearing in the Members table.

If the invitee already has a LedgerBear account

That's fine — they sign in with their existing credentials when they click the link, and get added to your household. They'll see the new household in their profile panel's household switcher and can hop between it and any others they belong to. See Switching between households.
